What Are Templates?
Templates are reusable checklists that define what information needs to be collected. Think of them as forms that your team can complete multiple times. Create once, use unlimited times.
Available Field Types
Text Input: Single line text fields (names, codes, etc.)
Long Text: Multi-line text areas for detailed descriptions
Photo Upload: Attach images as evidence or documentation
Checkbox: Yes/No or multiple choice options
Dropdown: Select from predefined list of options
Date: Date picker for scheduling and tracking
Number: Numeric values with optional min/max limits
Creating a Template (Step-by-Step)
- Access Templates: Go to Manager Dashboard → Templates → "New Template"
- Name Your Template: Use descriptive name (e.g., "Weekly Safety Checklist")
- Add Fields: Click "Add Field" for each piece of information needed
- Configure Each Field:
- • Set field type (text, photo, checkbox, etc.)
- • Mark as "Required" if mandatory
- • Add helper text to guide users
- Order Fields: Drag and drop to arrange fields logically
- Preview: Click "Preview" to see how it appears to staff
- Save & Publish: Click "Save & Publish" to make available for assignments
Template Best Practices
- Keep templates focused - one template per task type
- Mark important fields as required to prevent incomplete submissions
- Add clear instructions to each photo field (e.g., "Front view of equipment")
- Test template before assigning by previewing it
- Use consistent naming for similar templates across locations
- Require at least one photo for compliance documentation
- Review and update templates quarterly based on team feedback
